Features of the DOCFOCUS Document Management System

DOCFOCUS delivers a set of powerful features that enable businesses to better manage their paper and electronic documentation processes.

Scan
Scanning converts paper based document or documents with handwriting (these could have been created electronically by your system, but require a signature or have some hand writing on the documents) to an electronic image.

Electronic Capture

Electronically capturing documents that are created from a financial system in a legal representation of the document as it would be printed on paper forms, without scanning. These documents can be automatically Profiled and stored in the document management system.

Electronic Signature Capture
Electronically capture documents from the financial system and send the documents to a tablet for a customer's signature. Once signed by the customer, the documents are automatically stored with the customer's signature, without the need of scanning.

Electronic Profile
Electronically Profile documents that have been manually scanned, capture the primary Profile information, and store the document. Profiling is as easy as selecting the document type, entering the document date, entering the document folder information and selecting a text capture area on the document for the system to build a text index field for future searching.

Store
The storage system, known as the library, provides long-term and reliable storage for documents and Profile information. The storage system consists of two (2) parts, the document library and the database library.  Together this is called the library.  A good storage system will accommodate changing documents, growing volumes and advancing technology. 

Profile
The document Profile is a summary of the document information, used to index the document, creating an organized document filing system and making future retrieval simple and efficient.
 
Search
The document search and retrieval system uses information about the stored documents, the document’s Profile information, to find documents stored in the document management system. A good search and retrieval system will make finding the right documents fast and easy. 

Access
Document viewing should be readily available to those who need it, with the flexibility to control access to the system. A good access system will make documents viewable to authorized users, whether in the office or at different locations.

Batch Email/Fax
Batch emailing or faxing of documents will queue documents that have been identified for sending out electronically. The documents will be sent out electronically based on the customer’s defined information stored in the local customer data. This can include time, the type of documents (PDF/TIFF), fax numbers, email address, and cover page information of documents to be sent.
